East Coast Credit Union is seeking a Full-time Administration Clerk, Mortgages, to work out of our beautiful Dartmouth, Nova Scotia location. The Administration Clerk- Mortgages will support the organization’s mortgage administration department by ensuring accurate processing, documentation, and communication. This position involves managing departmental mailings, processing mortgage-related documentation, and providing timely support to branches and clients. The successful applicant is responsible for maintaining compliance, monitoring reports, and maintaining efficient records and filing systems while delivering high-quality administrative support.
The incumbent represents the Credit Union in a positive and professional manner while adhering to the Policies and Procedures of the Credit Union.
You would…
- Coordinate and manage daily and monthly departmental mailings.
- Process and register mortgage release documentation, ensuring all required steps are completed accurately and efficiently.
- Prepare and process mortgage renewal documentation, providing support to branches by addressing inquiries and offering guidance as needed.
- Monitor and manage the Mortgage Administration inbox, responding promptly to inquiries or directing them to the appropriate person or department.
- Review and analyze daily, weekly, and monthly reports), ensuring accuracy and compliance.
- Evaluate and process Lawyers’ Final Reports, verifying completeness and compliance with requirements.
- Scan, file, and distribute documents, ensuring accuracy and timely delivery to the appropriate recipients.
- Provide comprehensive administrative support, including preparing correspondence, managing courier shipments, generating data reports, inputting data into systems, maintaining filing systems, photocopying, faxing, preparing official cheques, and performing other general office duties.
- Support and back up other team members in the Administration Department as required, taking on additional duties and projects as assigned to ensure seamless operations.
You Have…
- Successfully completed a diploma in Office Administration.
- Have one to three years of relevant administrative experience, preferably in a financial institution; or an equivalent combination of training and experience.
- Exceptional attention to detail and strong organizational skills.
- An ability to manage multiple tasks efficiently and prioritize.
- Experience using Microsoft 365.
